Spec review is one of those tasks that every contractor knows is critical and almost nobody gives enough time to. The project looks right on the surface. The scope seems familiar. The bid date is coming fast. And so the spec gets skimmed rather than read, the ambiguous sections get noted mentally rather than documented formally, and the estimate gets built on assumptions that seemed reasonable at the time and become expensive later.
This is not a discipline problem. It is a bandwidth problem. A thorough spec review on a complex project takes serious time, and most estimating teams are carrying more opportunities than they can cover carefully. Something has to give, and spec review is often the thing that gives.
AI does not solve the bandwidth problem entirely, but it changes the math in a meaningful way.
The most immediate and practical application is summarization. A project specification that runs to hundreds of pages can be processed through an AI tool with a well-constructed prompt and returned as a structured summary of the critical elements, the divisions most relevant to the scope, the sections that contain unusual requirements, and the language that is ambiguous enough to warrant a closer look before the number gets built. That summary does not replace a careful read of the sections that matter most. What it does is tell you which sections those are, faster than you would find them on your own, and flag the things that deserve attention before you are three weeks into an estimate.
The second application is exclusion and clarification identification. One of the more consistent sources of margin erosion in contracting is the scope that felt clear at bid time and turned out not to be. AI can help identify the language in a specification that is open to interpretation, the sections where the drawings and the spec are likely to conflict, and the requirements that fall into gray areas between trades. Getting those questions on paper early, before the estimate is built and certainly before the contract is signed, is one of the more reliable ways to protect the number you submitted.
The third application is comparison across projects. Firms that have been saving and organizing their past project specifications in any kind of accessible format can use AI to compare the spec on a new opportunity against projects they have done before. What is similar. What is different. Where the new project introduces requirements that did not exist on comparable past work. That kind of comparison used to require someone with enough institutional knowledge to hold multiple projects in their head at once. AI makes it a more accessible and systematic process.
There are limits worth being clear about. AI does not understand construction the way an experienced estimator does. It does not know the local market, the subcontractor relationships, the history with a particular GC, or the firm’s specific capacity at a given moment. It does not catch everything, and the outputs need to be reviewed by someone who knows what they are looking at. The estimator’s judgment is still the thing that matters most. AI makes that judgment faster to apply and better informed, which is a meaningful improvement without being a replacement.
The firms that are building AI into their preconstruction workflow are not doing anything exotic. They are applying available tools to one of the most time-consuming and risk-laden parts of the business and getting more consistent results for it. Spec review done better means estimates built on clearer ground, exclusions written with more confidence, and fewer surprises after the contract is signed.
That is a return worth pursuing, and the tools to do it are already available.
